What we collect
When you complete our contractor or manufacturer enquiry form, we collect your name, company, job role, email address, telephone number, site location or required volume, the materials you're interested in, and anything you write in the notes field.
When you use our Free Waste Cost Screen or Waste Bill Review, we also collect your company and site information, your approximate waste spend, supplier and contract information, and any waste bills, invoices, tickets, waste transfer notes, weighbridge records, contracts or price schedules you choose to upload. Please remove personal data of other people from documents where you can.
Some general website forms may be stored by our hosting provider, Netlify. The Waste Bill Review uses URI's hosted intake functions to create the client review and receive uploaded files individually. Review details are passed to our URI processing services and relevant enquiry/contact details are recorded in HubSpot so we can manage the relationship and follow up. Supporting documents are retained for the review and evidence workflow. We also collect standard technical information such as your IP address when your browser requests our pages or submits an intake.
Where we get your data
Most of the data we hold comes from you: forms on this website, email, phone, WhatsApp or text messages, meetings and the documents you send. We also obtain business contact details (name, job title, work email, work phone, company and business address) from public sources such as Companies House and company websites, and from business-contact data providers (currently Apollo.io), so that we can contact businesses that may benefit from our services. If we contact you using details from one of these sources, our first message links to this notice, and we will confirm the exact source if you ask. You can object at any time and we will stop.
Why we use it
To reply to your enquiry, assess and deliver the review or service you requested, establish a commercial baseline, extract and reconcile invoice information, identify missing records and evidence, arrange collections or shipments where applicable, prepare quotations and proposals, issue waste transfer notes and compliance documentation, and keep records required by waste and tax legislation.
Our lawful basis
For responding to business enquiries and managing our services we rely on our legitimate interests in operating and developing the business, and on taking steps at your request before entering a contract. For marketing emails to individuals, sole traders and partnerships we rely on your consent, which you can withdraw at any time. For business emails to people at their work address in a company or other corporate body, we rely on our legitimate interests in telling relevant businesses about our services; every such email tells you how to opt out, and we stop when you ask. For regulatory records such as waste transfer notes we rely on our legal obligations.
Messages and payments
If you contact us by WhatsApp or text message, we receive your phone number, your messages and any files you send, and use them to reply and to handle your enquiry or job. These messages are delivered through our messaging provider (Twilio, and Meta for WhatsApp). If you pay an invoice online, our payment provider (Stripe) processes your payment details; we receive confirmation of the payment, not your full card details.
Automated processing and AI
We use document-processing and AI-assisted tools, including Microsoft Azure Document Intelligence, to help extract information from invoices and supporting waste documents and to organise review tasks. Automated processing may identify possible baseline gaps, reconciliation exceptions or missing evidence, but it does not make the final commercial or compliance decision. URI staff review material findings, approve baselines and evidence decisions, and control publication of client statements and reports. Savings are not automatically verified.
Who we share it with
Our service providers acting on our instructions, including our website hosting provider, customer relationship management system, application hosting, document storage, transactional email, messaging, payment and document-processing providers. We share your details with hauliers, recyclers and laboratories only where necessary to deliver a collection, shipment or test. We do not sell your data.
International transfers
Some providers process data outside the UK. Where they do, we rely on UK-approved safeguards such as the International Data Transfer Agreement, the UK Addendum or another applicable UK transfer mechanism.
How long we keep it
Enquiries that do not become customers: 24 months from your last contact with us. Customer records, contracts and accounting records: 6 years. Waste transfer notes and duty-of-care records: for the period required by waste legislation (a minimum of 2 years; 3 years for hazardous waste consignment notes).
Your rights
You can ask us for a copy of your data, ask us to correct or delete it, object to processing based on legitimate interests, ask us to restrict processing, and request portability. Email support@upgraderecycleinnovations.com and we will respond within one calendar month. See our Data Rights page for how this works in practice. If you're unhappy with our response, you can complain to the Information Commissioner's Office at ico.org.uk.
